(AI) Use Policy

Purpose
This policy establishes guidelines for the ethical, transparent, and responsible use of Artificial Intelligence (AI) technologies within Health Insititute Australasia. It aims to:
*Maintain academic integrity
* Ensure compliance with regulatory standards
* Protect student data and privacy
* Support quality training and assessment outcomes - Scope
This policy applies to:
* All students enrolled in nationally recognised or non-accredited training
* Trainers, assessors, and staff
* Third-party providers engaged by the RTO
It covers all AI tools, including generative AI (e.g., text, image, or code generation tools). - Definition of AI
Artificial Intelligence (AI) refers to software or systems capable of performing tasks that typically require human intelligence. This includes tools that generate content, provide automated responses, or assist with decision-making. - Guiding Principles
AI use within the RTO must align with the following principles:
4.1 Integrity
AI must not be used to misrepresent a student’s own knowledge, skills, or work.
4.2 Transparency
Users must disclose when AI tools have been used in the creation of assessments or learning materials where required.
4.3 Accountability
Students and staff remain responsible for all submitted or generated content, regardless of AI involvement.
4.4 Privacy and Security
AI tools must not be used in ways that compromise personal, sensitive, or confidential information. - Acceptable Use of AI
Students may use AI tools to:
* Support learning and research
* Generate ideas or study aids
* Improve grammar, spelling, and clarity
Trainers and staff may use AI to:
* Develop learning resources
* Assist with administrative tasks
* Enhance delivery methods
Condition: All outputs must be reviewed and verified for accuracy. - Unacceptable Use of AI
The following uses are prohibited:
6.1 Academic Misconduct
* Submitting AI-generated work as one’s own without disclosure
* Using AI to complete assessments intended to measure competency
6.2 Assessment Integrity Breaches
* Using AI during exams or controlled assessments unless explicitly permitted
6.3 Data Misuse
* Entering confidential student or organisational data into AI tools without approval - Assessment Guidelines
Each assessment task will specify whether AI use is:
Permitted
Restricted
Prohibited
Where AI is allowed, students must:
Declare AI use
Provide details of how it was used (if required)
Evidence of competency must demonstrate the student’s own skills and knowledge in line with standards set by Australian Qualifications Framework. - Staff Responsibilities
Trainers and assessors must:
*Clearly communicate AI rules for each assessment
* Design assessments that minimise inappropriate AI use
* Validate authenticity of student work
* Participate in ongoing professional development related to AI - Risk Management
The RTO will:
* Monitor developments in AI technologies
* Review risks relating to academic integrity and compliance
* Implement controls to mitigate misuse - Breaches of Policy
Breaches of this policy may result in:
* Reassessment requirements
* Academic misconduct proceedings
* Disciplinary action in line with RTO policies
Serious breaches may be handled in accordance with national standards and guidelines from Australian Skills Quality Authority. - Continuous Improvement
This policy will be reviewed annually or as required to ensure alignment with: Regulatory updates, Industry best practices, Technological advancements
